Email the Paragon Bing Map as a PDF Attachment

NNRMLS Paragon 5 users can now email the Bing Map report to their clients as a PDF attachment. This is part of an enhancement employed by the Paragon tech team on Dec. 12, 2012.

Here’s how to to utilize this great new feature:

1. In Paragon bring up a list of properties and select the listings you would like to email

2. Click the Email button in the light blue toolbar

3. Select Attachment (PDF)

4. Select Bing Map in the Available Reports and add it to the Selected Reports

5. Click the Email button

Press Release: SUPRA TO RELEASE eKEY™ Fob 3 for iPhone®, Android™, or Blackberry® Product to Enable eKEY for iPhone 5 Users November 30, 2012

The following is a press release issued Dec. 3, 2012 to the NNRMLS by Supra:

Supra is pleased to announce the upcoming release of eKEY Fob 3. Compatible with iPhones (including the iPhone 5) as well as Blackberry and Android devices, eKEY Fob 3 converts a Bluetooth® signal generated from a real estate agent’s smart phone into an infrared signal that can be received by the Supra standard iBox™. Additionally, Fob 3 is also compatible with a growing variety of tablets, including Android and iPad. Association/MLS organizations may now pre-order eKEY Fob 3 in limited quantities. The new fob replaces its predecessor (Fob II), eliminating any need to stock both the Fob II and the eKEY Fob 3. Supra will continue to ship the iPhone Adapter for eKEY, for agents who prefer to use Apple’s 30 pin connector. eKEY Fob 3 will be made available to Associations and MLSs in limited quantities beginning December 2012, with general availability in January 2013. Associations may place advance orders, with first orders shipping on or before December 28, 2012. Real estate agents who use the SupraWEB information system may place orders through SupraWEB in January, 2013. In January 2013, there will be an original fob, fob II, and adapter trade-in opportunity if your Association/MLS organization elects to offer one to your members. Phone Number Display Next to Your Name in Paragon Listing Detail Report

Have you noticed that your phone number does not display next to your name in a Paragon listing detail report?
If so, here’s how to fix that:
1. Click on Preferences


2. Click on System from the resulting dropdown menu
3. Click on Result Options on the left side of the page
4. In the center of the page in the “Display Phone Number” section check the box next to “Show phone number with agent name”
5. Click the Save button located in the light blue toolbar


That’s it! Your phone number will now display next to your name in a Paragon listing detail report.

Email Signatures-Quick Start Guide

Email Signatures is a tool in Paragon that allows you to have multiple Email Signatures inside Paragon and then choose the signature you want for each E-mail you send out of Paragon. This includes one-time E-mails and Automatic E-mail Notifications. As you change a signature’s contact information (for example: agent image, office logo, office name, address, phone number(s), E-mail address, etc.), Paragon will:

1. Automatically update all Automatic E-mail notifications using that specific Email Signature.
2. If you have updated the Default Signature, Paragon will create an Exceptions Report indicating which of your Automatic E-mail notifications are not using the Default signature. If you want to update an automatic E-mail notification signature, with three clicks, a signature is updated to the default signature’s information. (See the Exceptions Report below for more details on updating a signature).

Here is a key benefit of the Email Signature feature of Paragon. If your MLS has been using E-card for your Automatic E-mail Notification signature, each time you changed your contact information, you needed to revise the contact information manually for each of your Automatic Email Notifications. Email Signatures will automatically update your contact information in each of your Automatic E-mail notifications using that specific signature. Change your contact information for each signature once and all your notifications using that signature are updated. This ensures your correct contact information is going to your clients!

When your MLS initially switches to Email Signature, the E-Card you currently have in Paragon will become your default Email Signature. Based on this default signature, the exception report is generated letting you know which E-mail signatures have out-of-date contact information. With three clicks, you can quickly update each of your Email Signatures to the default Email Signature or any other signature you have created in Paragon. (See updating Email Signature and creating an Email Signature on below.)

When you select an Email Signature as your default Email Signature, each time you create an Email (one time E-mail or Automatic E-mail Notification), the default Email Signature is added to your E-mail. From the dropdown box in the upper left hand corner of the E-mail header, you can select an alternate Email Signature. To save you time, you can set all of your inactive E-mail Notifications to the “Updated” status by clicking the Set All Inactive Notifications as Updatedbutton found in the upper left hand corner of the Exceptions Report.

There is no limit on the number of Email Signatures you have in Paragon.

Exceptions Report

At Login Time

Each time you login to Paragon, Paragon will ask you if you want to update Automatic E-mail Notifications that do not match your default signature. You have several options regarding this notification, as shown by clicking the dropdown box in the modal show below.

• View Searches and update notifications now
• Remind me in 1 day
• Remind me in 1 week
• Remind me in 1 month
• Don’t remind me again
Make your selection and click OK.
If you click View Searches and update notifications now, a modal will open with your notifications displayed, ready for you to update them. With three clicks, you can update all of your exceptions to your default or update your exceptions to the default one-at-a-time. (See below for the modal with your notification exceptions.)

In Preferences
If, while working in Paragon, you want to update your Email Signature exceptions, click on Preferences, then click on E-mail. A tab will open.

In the new tab with the Email folder expanded. Expand the Email Signature folder by clicking the “+” sign and click on Exception Report.  The Exceptions Report is displayed in the workspace to the right of the folder tree.

Exceptions Report
The Exceptions Report has two filters:
• Notifications: All Notifications, Active Notification and Inactive Notifications
• Updated: All, Yes and No (Indicates if the notifications are using the default Email signature)

The Exceptions Reports opens displaying the notifications that have not been updated to the default Email Signature.

Notifications Filter
• All – Displays all notifications that are both active and inactive.
• Active – Displays only the Active E-mail Notifications.
• Inactive – Displays only the Inactive E-mail Notifications.
Updated Filter
• All – Displays all notifications that are both Yes (updated) and No (not updated).
• Yes – Displays all notifications you have updated to the default Email Signature.
• No – Displays all notifications that have not been updated to the default Email Signature.

Manually Updating Email Signatures
To update an Email Signature manually, click on the search name. A modal opens displaying the E-mail Notification.

Click on Select Signature and click the signature you want to use for this specific E-mail Notification. Then click OK to save the newly selected Email Signature for this notification.

Create a New Email Signature
Creating an Email Signature is the same as creating an E-card. Using the same Rich Text Editor, you can create your Email Signature.

Click on Preferences, then click on the Email.  A tab will open.

In the new tab with the Email folder expanded. Expand the Email Signature folder by clicking the “+” sign and click on Add New.

Using the Rich Text Editor, add your contact information and other details you want to communicate to the recipient of your E-mails. Give your signature a name that describes the content in your Email Signature. When you have completed the Email Signature, click on Save in the upper left hand corner of the workspace.

The new signature is added to your list of Email Signatures.

E-mail Signatures Activated For All Paragon 5 Users

On November 12, 2012 the Northern Nevada Regional MLS, in cooperation with the Paragon tech team, activated E-mail Signatures for the NNRMLS Paragon 5 system.
E-mail Signatures add key improvements over the old Ecard.

With E-mail Signatures, users will no longer have to update the signature in each of their notifications when contact information changes. Update the signature once in Preferences and all notifications will be automatically changed. In addition, users can create as many different signatures as they would like and specify one as the default signature. Whenever a new e-mail or notification is created the default signature will display, or one can be selected from any one of the other signatures setup in Preferences.

Important!
Users are best advised to wait until the update process has completed, in the case of NNRMLS Members that means updating on or after November 12, 2012, and update their notifications via the Exception report.
Please Note! Due to the exception matching process (see Exception Report), this feature cannot be deactivated once active on a database.

Exception Report

When an MLS elects to activate the E-mail Signature feature, a process will run to upgrade Ecards in all existing notifications to a default E-Mail Signature. However, in some cases the Ecard for a notification may not be able to be updated automatically. If this occurs, when users login to Paragon they will be notified that some of the E-cards in their notifications were not updated automatically. They will be directed to the Exception Report that will display all of the notifications that could not be updated and allow the user to update them manually.

The Exception Report displays all contacts that have auto-notifications setup that could not be automatically updated to use the new Email Signature function. Once all notifications have been updated, this exception report will no longer be available in the left tree menu.

Click the Search Name link to open the notification settings and update the notification with the new Email Signature. A new Select Signature option is available to select the desired signature for the e-mail message.

After you click on the above link your browser will open a Google calendar created by the Paragon training team. Look for the Signatures link listed on the calendar. Keep in mind the times on the calendar will be two hours ahead of the start times I listed above because the training is being conducted in from Kansas which goes by Central Time, which is two hours ahead of local time in Nevada.

Once you click on one of the links an information bubble will appear, you’ll want to click on the “Click Here” link to register for the webinar.

 

Once you click on that link you will be brought to a registration page. Fill out your name, email address and enter NNRMLS for your MLS’ name and then click the Register button.

You will then see a “Thank you for registering” form on your screen and you will be emailed a confirmation of the date and time of your training. Save this email and use it the day of your training to join the webinar.

Delete Listings From Your Paragon 5 Listing Cart

If you’d like to delete listings from one of your Paragon 5 listing carts here’s how:
1. In Paragon click on the Search icon
2. Under the yellow Saved Search heading click on Listing Carts
3. On the listing cart page click on the underlined name of the listing cart
4. In the Manage Listing Cart click the check box corresponding to the listing you want to delete
5. Click the Remove button
6. When you’re done removing listings click the close button
